Firm and Advisor Information
When advisory firms and advisors register, we collect:
- Firm name, business address, and contact details
- Advisor names, email addresses, professional credentials, and titles
- Account credentials and subscription information
- Firm branding assets (logo, colors) for white-label portal customization
Client Information
When advisors add clients or clients use the portal, we may process:
- Client name, email address, phone number, and date of birth
- Financial documents uploaded for AI-powered analysis
- Profile data across six domains: identity & family, net worth, insurance, business, estate, and digital security
- Gap analysis results, recommendations, and meeting notes
Automatically Collected Information
When you use our Service, we automatically collect:
- Device and browser information
- IP address and location data
- Usage patterns and feature engagement
- Cookies and similar tracking technologies
3. How We Use Your Information
We use your information to:
- Provide AI-powered document analysis, profile building, gap detection, and recommendation generation for advisory firms
- Enable multi-tenant firm management with role-based access controls
- Process subscriptions and manage firm billing
- Deliver the white-label client portal experience
- Generate meeting preparation materials and process meeting notes
- Provide the AI copilot with real-time financial research capabilities
- Send operational notifications, support messages, and product updates
- Improve our Service, develop new features, and maintain platform security

4. AI and Document Processing
Our Service uses artificial intelligence (powered by Anthropic's Claude) and real-time research (powered by Perplexity) to analyze financial documents and provide insights to advisory firms. When documents are uploaded:
- Documents pass through our 7-step intelligence pipeline: OCR, classification, data extraction, profile updates, gap analysis, contradiction detection, and recommendation generation
- Documents are processed securely with encryption at rest and in transit
- Document contents are not sold or shared outside your firm's tenancy
- AI analysis is used solely to provide insights and recommendations to the firm and its advisors
- Data provenance is tracked so advisors can trace every insight back to its source document
- Advisors or authorized firm administrators can delete documents and associated data at any time
5. Multi-Tenant Data Isolation
Handled enforces strict multi-tenant data isolation. Each firm's data is logically separated at the application level:
- Advisors can only access clients belonging to their firm
- Non-admin advisors are further restricted to their assigned clients
- Portal clients can only access their own profile and documents
- All API requests are validated against firm-level tenancy boundaries
6. Data Sharing and Disclosure
We may share information with:
- Service Providers: Third parties that help us operate our Service (e.g., Supabase for authentication, Stripe for payments, Vercel for hosting, Anthropic for AI processing, Perplexity for real-time financial research)
- Within a Firm: Client data is shared among authorized advisors within the same firm as configured by firm administrators
- Legal Requirements: When required by law, regulation, or to protect our rights
- Business Transfers: In connection with a merger, acquisition, or sale of assets
We do not sell personal information to third parties. We do not share data across firm boundaries.
7. Data Security
We implement appropriate technical and organizational measures to protect information, including encryption at rest and in transit, secure cloud infrastructure, role-based access controls, audit logging, and regular security assessments. However, no method of transmission over the Internet is 100% secure.
8. Data Retention
We retain firm and client data for as long as the firm's subscription is active. Upon account termination, data is retained for a reasonable period to comply with legal obligations, after which it is securely deleted. Firms may request data export or deletion at any time.

- Rectify or update your personal information
- Delete your account and associated data
